Map your QR labels

How it works

  3. Choose a layout and starting label position, then inspect each sheet.
  4. Test on plain paper, print at 100% / Actual Size, and scan the printed codes.

A real example

Fictional row: QR Value = https://example.com/menu · Primary text = View our menu · Secondary text = Sample café · Quantity = 3.

Map all four columns and choose QR + Primary + Secondary text. You get three identical codes with readable captions. Starting at position 30 places one label at the bottom-right of the first sheet and two on the next.

Prepare your spreadsheet

Use one record per row and a header row. Keep identifiers with leading zeros in text cells in Excel; zeros already lost in numeric cells cannot be recovered. Review suggested mappings and override them as needed. CSV quoting supports commas, quotes and Unicode.

QR Value is the encoded content. Primary and secondary text are only printed captions. A caption can describe a link without becoming part of that link. Blank QR values and invalid copies must be corrected before printing.

Print accurately on Avery 5160

The shared RST layout uses 3 columns × 10 rows on US Letter, with 1 × 2⅝-inch labels. Use matching stock and select 100% / Actual Size. Disable Fit to Page, extra margins, and browser headers and footers. First print on plain paper and compare all edges with the label sheet.

For a partly used sheet, choose the first unused position. Only that first sheet is offset. Preview the next sheet before printing. Avoid feeding stock your printer does not support.

Keep QR codes easy to scan

Leave the white space around each code intact. Do not decorate, stretch, crop or scale the sheet. Longer values create denser codes; this tool rejects values beyond its conservative small-label limit. Use a clear print setting and test several printed labels with the intended phone or scanner.

Frequently asked questions

Do QR values have to be URLs?

No. URLs, plain text, identifiers, email addresses, phone numbers and Unicode text are encoded exactly as supplied. The tool does not add URL, email or phone formatting. The scanning app decides how to handle the decoded text.

Which files and label sheets work?

CSV and XLSX with headers, up to 10 MB, 3,000 data rows and 100 columns. Choose a worksheet in multi-sheet workbooks. V1 prints Avery 5160 or compatible 1 × 2⅝-inch labels, 30 on US Letter. Expanded output is limited to 3,000 labels.

How do copies work?

Without Quantity / Copies mapping, each row makes one label. With a mapped column, every row must contain a positive whole number from 1 to 1,000. Blank, zero, negative and fractional quantities block printing with row-specific errors.

Can I use a partially used sheet?

Yes. Start at label lets you choose a numbered position, with its row and column shown. Positions run left to right, then top to bottom. Earlier positions on the first sheet stay blank; later sheets start at position 1.

Why is a QR value rejected?

For this small stock, the tool limits payloads to 106 UTF-8 bytes and symbols to 41 × 41 modules. Unicode characters can use several bytes. Oversized values are rejected, never shortened silently. Use a shorter value that still serves your purpose.

What happens to long printed text?

Primary and secondary text wrap to at most two lines each and may be clipped to fit beside the QR code. Warnings identify long text. Review the sheet and source-row preview; changing text or text size never changes QR Value.

Will every printed QR code scan?

Printer quality, stock, lighting and the scanning device matter. Codes have black modules, a white four-module quiet zone and medium error correction. Print at actual size and test several real labels with your intended device before a batch. Scanning is not guaranteed.

Are my files or QR codes uploaded?

No. Spreadsheet parsing, QR encoding, preview, CSV download and print output run locally in your browser. Feedback never automatically attaches spreadsheet contents, QR values, label text or generated codes.

Are these dynamic or tracked QR codes?

No. These are static codes containing your mapped text. RST adds no tracking or redirect service. If the value points to a website, opening it uses that website and its own privacy practices.
