A real example
Fictional spreadsheet columns: First Name, Last Name, Address, City, State, ZIP.
For Jane Doe at 123 Main Street in Columbus, OH 43215, choose:
- Line 1: First Name + Last Name → Jane Doe
- Line 2: Address → 123 Main Street
- Line 3: City + State + ZIP → Columbus OH 43215
You choose which columns become label lines. Values on the same line are joined with spaces; punctuation comes from your spreadsheet values.
Before you print
- Select US Letter (8½ × 11 inches), not A4.
- Use 100% / Actual Size. Turn off Fit to Page and browser headers and footers.
- Print on plain paper first. Hold it against the label sheet to check the first and last rows and all three columns.
- Check your printer’s label-stock and feed instructions. Hardware margins and paper feeding can affect alignment.
- Check every preview sheet. For a partly used first sheet, select the correct Start at label position.
Fix common problems
- Labels gradually shift down the sheet
- Recheck print scaling and paper size. A small scale change accumulates across rows; compare the top and bottom of a plain-paper test.
- The whole sheet is offset
- Check the stock layout, printer positioning and paper feed. This tool does not provide an alignment-offset adjustment.
- Part of an address is missing
- Check the mapped columns and reduce the text size or shorten the values. The tool warns and disables printing when it detects text that does not fit inside a label.
- A ZIP code lost its leading zero
- Keep ZIP/postal-code columns as text before entering or importing them into spreadsheet software. The tool preserves imported text such as “02108,” but cannot recover zeros already removed from a numeric value. Check the imported preview before printing.
Frequently asked questions
What size are Avery 5160 labels?
Each label is 1 inch high by 2⅝ inches wide. The sheet is US Letter, 8½ × 11 inches.
How many labels are on one sheet?
There are 30 labels, arranged in 3 columns and 10 rows. Larger address lists continue onto additional sheets. Start at label lets you leave positions blank on the first sheet.
Can I upload an Excel file?
Yes. Upload a .xlsx or .csv file, up to 10 MB, with a header row and up to 3,000 address rows and 100 columns. For a workbook with multiple worksheets, choose the worksheet to use. Older .xls files are not supported; export them as .xlsx or CSV first.
Can I choose which columns appear?
Yes. Add or remove columns on any of the five label lines. Fields on a line are joined with spaces in the order you choose. Empty fields and empty lines are skipped. The tool does not remove duplicate addresses.
Can I save the labels as a PDF?
Yes. Select Print / Save PDF, then choose a PDF destination in your browser’s print dialog. Keep US Letter paper size and 100% / Actual Size so the physical layout is preserved.
Why are my printed labels misaligned?
Check US Letter paper, 100% / Actual Size, and disabled headers and footers. Fit to Page can change the spacing. A shift that grows down the page often indicates scaling; a consistent shift can come from printer positioning or paper feeding. Test on plain paper and check your printer’s label-stock settings before using another sheet.
Are my addresses uploaded to Really Simple Tools?
No. This tool reads your CSV or XLSX file and builds labels locally in your browser. The application does not upload the file or save addresses on its server. Closing or reloading the tab clears the current tool session. Feedback does not automatically include your addresses or label output.
