Restaurant Prep Sheet Generator

Enter your par and on-hand counts. Get a clear list of what to prep.

Prep items

Par and on hand use the same unit.
Item 1
To prep—

Runs in your browser. Your restaurant details and prep counts stay in this tab’s memory.

How it works

  1. Add the items you need to prepare.
  2. Enter the par amount for each item.
  3. Enter how much you currently have on hand.
  4. Generate and print your prep sheet.

A real example

Tomato sauce: Par 12 qt · On hand 5 qt · To prep 7 qt.

To prep = max(0, Par − On hand). If you have 15 qt on hand against the same 12 qt par, prep is 0 qt: you are already at par.

What is a restaurant prep sheet?

A prep sheet shows what your kitchen needs to prepare before service. Grouping items by station gives each team a clear list to work from.

Par
The desired amount ready for service.
On hand
The usable amount already available.
To prep
The additional amount required to reach par.

Tips for a useful prep sheet

  • Set pars for the service you are preparing for.
  • Count usable product, leaving out waste or unavailable stock.
  • Keep par and on-hand units consistent for each item.
  • Group items by station so staff can use the printed sheet.
  • Revisit pars when demand changes.

Frequently asked questions

What does “par” mean?

Par is the amount you want ready for the service you are preparing for. Enter it in the same unit as your on-hand count.

What does “on hand” mean?

On hand is the usable amount already available. Do not count product you cannot use for the service.

How is “to prep” calculated?

To prep = max(0, par − on hand). If you already have at least your par amount, the result is zero and the item stays on the sheet marked “At par.”

Can I use decimal quantities?

Yes. For example, a par of 12 L and an on-hand count of 4.5 L gives 7.5 L to prep. Enter decimals with a decimal point. The tool preserves decimal quantities and does not convert units.

Can I print or save the prep sheet as a PDF?

Yes. Select Generate Prep Sheet, then Print / Save PDF. Your browser’s print dialog lets you print or choose a PDF destination. The sheet groups items by station and includes checkboxes.

Does Really Simple Tools upload my prep data?

No. This tool keeps restaurant details, items and counts in this tab’s memory and calculates locally in your browser. Closing or reloading the tab clears them. Feedback submissions do not automatically include prep data.
