A real example
Fictional row: Tomato Sauce · On hand 7 · Target 20 · Reorder point 10 · Case size 6.
Stock is below the point, so 13 units are needed. Rounded to full cases, the suggestion is 3 cases, or 18 units. Editing the order to 2 cases changes expected units to 12. If on hand were 15, the suggestion would be zero because 15 is above the reorder point.
Set targets you can explain
A reorder point decides when to buy; a target decides how much to replenish. Keep the point at or below the target. Use item-specific columns for a mixed catalog, or defaults when the same settings genuinely apply to all rows.
Use the same unit for stock, target, point and case size. A pack of six bottles needs a case size of 6 when stock is counted in bottles. Missing unit defaults to each. Pack rounding may purchase more than the shortfall.
Review before purchasing
- Confirm counts, supplier names and current pack sizes. Grouping uses supplier names exactly after trimming spaces.
- Keep duplicate inventory rows only when they represent separate purchases; the calculator does not merge locations or SKUs.
- Check manual edits against your needs. They intentionally override the suggestion, including when you set an order to zero.
- Fix row errors before export or print. No partial purchasing file is produced while errors remain.
- CSV text can be changed by spreadsheet software on opening. Import SKU columns as text and review the result.
- Print at a readable scale, disable browser headers and footers, and review every supplier section before placing orders.
Frequently asked questions
How is this different from the restaurant order-sheet builder?
This tool starts with a CSV/XLSX inventory export, supports custom column mapping and optional reorder thresholds, and lets you edit purchase quantities and export a CSV. The restaurant tool is a manually entered par-and-on-hand worksheet.
What are target stock and reorder point?
Target is the amount you want after replenishment. With a reorder point, an order is suggested only when on-hand stock is strictly below that point. At or above the point, the suggestion is zero. Without a point, every shortfall below target is replenished. A point of zero never triggers for non-negative stock.
Which columns do I need?
Map item name and on hand. Map target stock or enter a default target. Optional columns are reorder point, supplier, SKU, unit and case size. A mapped target must be filled in every row; blank mapped reorder points mean no threshold for that row. Review automatic header detection before exporting.
How are cases and decimals handled?
Needed is max(0, target minus on hand) when replenishment is triggered. If rounding is enabled and a case size is supplied, suggested order is ceil(needed divided by case size). Case orders must be whole numbers; other orders can be decimals. Expected units show the quantity actually purchased. No units are converted.
Can I change the suggested order?
Yes. Edit each order quantity; zero is allowed. CSV and print output use your edited value and identify it as a manual edit. Restore suggestion returns to the calculated quantity. Changing mapping, targets or case rounding clears manual edits so they are not carried into a different calculation.
What is included in the purchasing worksheet?
All valid rows, including zero orders, grouped by supplier. Duplicate SKUs remain separate and trigger warnings. The CSV also includes target, threshold, shortfall, case size, suggested quantity and actual order quantity. Formula-capable text gets an apostrophe prefix for safer spreadsheet use.
Which files can I upload?
CSV or XLSX with headers, up to 10 MB, 3,000 inventory rows and 100 columns. You can select a worksheet in a multi-sheet workbook. Use non-negative decimals with a decimal point, without thousands separators or currency symbols. Keep SKUs as text to preserve leading zeros; the tool cannot recover identifiers already changed by Excel.
Does this predict demand or account for open orders?
No. Targets and thresholds are your inputs. Adjust usable on-hand stock or your target to account for deliveries, reserved stock and planning decisions. This is a purchasing worksheet, not an inventory system, forecast or supplier integration.
Is inventory uploaded or saved?
No. Parsing, calculations, edits, CSV export and print output stay in your browser. Closing or reloading the tab clears the session. Feedback does not automatically contain inventory, files or output.
