How it works

  1. Add inventory items and optional suppliers or categories.
  2. Enter par and on-hand counts in the same unit.
  3. Add a case size if you order whole cases.
  4. Generate your order sheet, then print or save as PDF.

A real example

Chicken breast: Par 40 lb − On hand 17 lb = 23 lb needed.

With 10 lb per case, ceil(23 ÷ 10) = 3 cases to order. Expected quantity is 30 lb, not 23 lb. Without a case size, the order is 23 lb.

If par is 20 and on hand is 25, needed and order are both 0. The item stays visible as “No order needed.”

Turn counts into an order

Needed = max(0, par − on hand). Set par to the amount you want available for your next ordering period. Count usable stock in the same unit. A case size describes how much of that unit arrives in one case; it is not a unit conversion.

Before placing your order

  • Check current supplier pack sizes; rounding up can leave extra stock.
  • Count usable inventory and account for any deliveries you have already ordered before choosing your on-hand figure.
  • Keep units consistent: a par in pounds needs on-hand and case size in pounds.
  • Use consistent supplier names so their items group together. Categories appear beneath item names.
  • Review the printed sheet before placing an order. This tool does not forecast demand or send orders.

Frequently asked questions

What are par, on hand and needed?

Par is the quantity you want available. On hand is the usable stock you already have. Needed is max(0, par − on hand), so it never goes below zero.

How does case-size rounding work?

Enter the quantity in one case, using the same unit as par and on hand. The tool rounds needed ÷ case size up to a whole number of cases. Expected quantity shows how much those cases contain, which can exceed your need.

What if I do not enter a case size?

The order quantity equals the exact quantity needed in your chosen unit. A case size, when provided, must be greater than zero.

Can I use decimals and custom units?

Yes. Enter decimals with a decimal point. Units, categories and suppliers can be customized. The tool does not convert units; use the same unit for all quantities on an item.

Can I send this order to my supplier?

This tool produces a sheet you can print or save as PDF through your browser. It does not send orders, connect to suppliers or create purchase orders in another system.

Is my inventory saved or uploaded?

No. The tool calculates locally and keeps your restaurant, inventory and supplier information in this tab’s memory. Reloading or closing the tab clears the session. Feedback does not automatically include this data.
