How it works

A real example

Fictional inventory includes 001-A · Café mugs · Front shelf · each, with book quantity 10. A blind sheet shows the identifier, name, unit and blank count/notes fields. A book-assisted sheet also shows 10.

Two Packing tape rows remain separate even if their SKUs match. Each row is a separate counting instruction; the generator never combines inventory.

Blind count or book-assisted count?

Blind counting keeps expected stock off the sheet. That removes a visible number that could anchor the counter’s answer instead of an independent physical count. It does not guarantee an accurate count; consistent units, a clear route and a second check still matter.

Book-assisted counting shows expected quantities when mapped. It can help a team identify items needing a recount, but the counter should still count what is physically present. Blank book quantities are unknown, not zero.

Organize a count people can follow

  • Group by location for a shelf-to-shelf route, or category when a team counts by product type. Each group starts a new page and every continuation page repeats its heading.
  • Use original spreadsheet order when your list already follows the floor or shelf layout. Item-name and SKU sorting are available within each group.
  • Agree on units before counting: each, box and case are different. Optional unit text is copied from your spreadsheet without conversions.
  • Choose a count date, write counter initials, and mark unclear or damaged stock in Notes. Keep stock movements consistent during the count.
  • Review duplicate rows before handing out sheets. They are preserved intentionally and may represent different locations or separate instructions.

From count sheets to reconciliation

Generate sheets, conduct the physical count, then record the results in a spreadsheet with SKU, counted quantity and location where relevant. Use Inventory Count Reconciler to compare those results with your system inventory.

This generator leaves physical counts blank. It does not reconcile stock, change inventory, scan barcodes or connect to an inventory system.

Check common spreadsheet mistakes

Use a header row and keep identifiers as text. Leading zeros already removed by Excel cannot be recovered. Map SKU and item name to separate columns; review automatic suggestions. Empty identifiers or names must be corrected.

Expected quantity is optional. If mapped, use non-negative numbers with a decimal point, up to 12 whole digits and 6 decimal places. Blank values stay unknown; malformed quantities block output until corrected or unmapped. Avoid currency symbols and thousands separators.

Frequently asked questions

What files can I use?

CSV and XLSX with headers, up to 10 MB, 3,000 rows and 100 columns. Multi-sheet workbooks have a worksheet selector. Required fields are SKU / Item ID and item name. Expected quantity, location, category and unit are optional, with manual mapping overrides.

Do I need expected quantities?

No. Blind Count is the default and works without a book-quantity column. Book-Assisted Count is enabled only when Expected quantity is mapped. Blind outputs, including CSV, omit expected quantity.

Are duplicate SKUs combined?

No. Every input row remains a separate count-sheet row. Location/category grouping and sorting change the order, not the inventory. Group labels trim surrounding spaces; identifiers and other display text retain their source characters.

What does the CSV contain?

Organized SKU, item name, location, category and unit fields, plus expected quantity only in Book-Assisted mode. Count and Notes are always blank. The CSV uses the selected grouping and sort order. Formula-capable text receives an apostrophe prefix; import identifier columns as text when opening it in spreadsheet software.

How does printing work?

Choose US Letter or A4 in the tool and the print dialog, print at 100% scale, and disable browser headers and footers. Sheets include writable count spaces, optional Notes, date/counter information and page numbers. Rows are measured to fit; group headings repeat on continuation pages. Exceptionally long text that cannot fit one page must be shortened before printing.

Can I edit counts here or compare them with system stock?

No. Count on paper or record results in your own spreadsheet. Inventory Count Reconciler handles comparison after counting. The generator does not invent counts or make stock adjustments.

Is inventory uploaded or saved?

No. Upload reading, organization, preview, CSV generation and print preparation happen in your browser. Reloading clears the session. Feedback does not automatically include inventory. The site separately records a limited registered tool-page visit without SKUs, files or sheet contents.
