How it works
- Use Quick Hours for one shift, or Weekly Time Card for Monday–Sunday.
- Enter clock-in, clock-out and total unpaid break minutes. Add shifts for split days or copy a schedule to selected days.
- Review hours, optional overtime settings and hourly rate. Rounding is off unless you enable it in Advanced settings.
- Correct incomplete entries, then copy a summary, download CSV or print / save PDF.
A real example
Fictional shift: 09:00–17:30 with a 30-minute unpaid break is 8h 0m, or 8 decimal hours. Five such days total 40 hours. A further 3-hour Saturday shift gives 40 regular and 3 overtime hours at a 40-hour threshold.
At a rate of 20 and a 1.5× multiplier: 40 × 20 + 3 × 20 × 1.5 = 890 estimated gross pay, before any deductions.
Work hours, breaks and decimal hours
Subtract clock-in from clock-out, then subtract the total unpaid break duration. Paid breaks should not be subtracted. Add separate shifts for split days rather than counting the gap between them as work.
Decimal hours are minutes divided by 60: 7h 30m is 7.5 hours, not 7.30. Displayed decimals use up to four places; calculations retain whole minutes before pay calculation. Gross pay is displayed to two decimal places, without a currency conversion.
Overnight shifts and weekly overtime
If clock-out is earlier than clock-in, the shift ends the next day. 22:00–06:00 is eight hours before breaks. Equal clock-in and clock-out is zero hours, never 24. Shifts are attributed entirely to the day on which they are entered, including overnight time.
Weekly overtime is max(0, total hours − your threshold); regular hours are the remainder. The default threshold is 40 hours and can be changed or disabled. Quick Hours does not calculate weekly overtime. These are configurable arithmetic rules, not a determination of legal entitlement.
The calculator uses entered clock times, not timezone-aware timestamps. It does not adjust for daylight saving, detect overlapping entries, split overnight hours across weeks, or handle shifts of 24 hours or longer. Check those cases independently.
Time rounding and estimated pay
Exact entered minutes are used by default. Optional nearest 5-, 10- or 15-minute rounding applies separately to each shift’s worked duration after breaks; halfway values round up. For example, 8h 7m rounds to 8h with a 15-minute interval, while 8h 8m rounds to 8h 15m. Rounding never alters the displayed clock times.
An optional hourly rate estimates regular pay plus overtime pay at your chosen multiplier (default 1.5×). Use one currency throughout. This does not calculate taxes, deductions, benefits or net pay. Overtime and rounding rules vary by employer and jurisdiction; this is not payroll or legal advice.
Avoid common time-card mistakes
- Check AM/PM in your browser’s time picker. The browser may display 12-hour or 24-hour entry.
- Enter breaks as total whole minutes, including multiple unpaid breaks. A break longer than the shift is an error.
- Leave both time fields blank for a day off. A single entered time is incomplete and blocks final exports.
- Use the Monday week-start date; choosing another day moves it back to that week’s Monday. Verify overnight entries belong in the intended week.
- Copying a schedule replaces selected days. Check copied shifts and avoid duplicate or overlapping entries.
Frequently asked questions
Can I use this without an account?
Yes. Calculations happen in this browser tab without signup. No time-card data is uploaded or saved. Refreshing clears entries. Feedback does not automatically include times, names, rates or results; the site separately records limited registered tool-page visits.
Can I enter split shifts?
Yes. Weekly Time Card supports up to 12 shifts per day. Each shift has its own clock-in, clock-out and total break duration. Blank shifts are ignored; incomplete shifts must be fixed. Add individual unpaid breaks together and enter their total minutes.
Can I turn overtime off?
Yes. Disable Calculate weekly overtime to treat all worked hours as regular. Otherwise enter a threshold in hours that represents whole minutes, such as 40, 37.5 or 40.1. Daily or jurisdiction-specific overtime rules are not applied.
What happens when start and end are the same?
The shift has zero duration. It is not assumed to last 24 hours. A nonzero break would be invalid. An earlier end time is treated as ending the next day.
Can I copy my schedule to several days?
Yes. Choose Copy next to a day, select destination days and confirm replacement. Copies are independent, so later editing one day does not change the others.
What is included in CSV and print?
CSV contains shift times, overnight indicators, breaks, worked minutes, decimal and daily totals, settings and overall totals. Weekly reports also include date, optional employee/name and notes. Pay appears only when a rate is entered. Formula-capable names/notes receive an apostrophe prefix in CSV. Print excludes site navigation, controls, feedback and supporting content.
Is this a payroll system?
No. It is an elapsed clock-time calculator and optional gross-pay estimator. It does not track actual clock-ins, manage employees, determine legal overtime, process payroll or calculate deductions.
